FG Cultural Tours Guidelines

Three simple steps

The procedure to finalize the request from our Tour Architect for a quote on one of the proposed itineraries, or to request a personalized one, is divided into the following phases:

At this stage the interested person contacts FG Cultural Tours via email, leaving his name and telephone number. In this first email, the interested person should provide as many details as possible regarding his travel intentions, also referring to the standard proposals and suggesting any changes. For correct planning of the trip, it is desirable that the first contact takes place approximately six months before the scheduled departure.

Following the first contact, the interested person will be contacted by the Tour Architect of FG Cultural Tours, who will initiate correspondence via email aimed at better defining the itinerary, and analyzing its feasibility based on the duration, necessary travel, and particular travel needs.

At the end of the correspondence relating to the cognitive dialogue, the Tour Architect will prepare a quote. This quote, detailed and personalized based on the needs discussed, will be sent to the interested person upon payment of the fixed fee of 100,000.00 Japanese yen (JPY). Before sending the estimate and the related payment, a contract between the parties will be submitted to the interested party to be signed. The payment details will be provided when the contract is sent.

A no-nonsense approach to the definition of the global costs

The global costs of the service offered by FG Cultural Tours are divided into two items:

The fixed fee for preparing the estimate is 100,000.00 yen (JPY) and covers exclusively the costs of designing the detailed and customized estimate. This fee will be deducted from the invoice from the total cost of the service (see next item).

The total costs of the service provided by FG Cultural Tours can be defined in the operative phase only, and can include:
  • the cost of local transport;
  • booking or presale costs in special locations in which they are required (Kyoto Imperial Palace, Ghibli Museum, Disneyland, etc.);
  • the cost of the tour director, the cultural guide, or both;
  • any accompanying and transport costs from the airport to the hotel (pick up) and from the hotel to the airport (drop off);
  • the work of organization and intermediation with various reference bodies or authorities.
Payment terms
  • The fixed fee must be paid before receiving the detailed quote.
  • The total cost of the service must be paid at least 30 days before departure.

All amounts paid will be regularly invoiced.
